General Meeting
November 30, 2008

Chairman Mr. Northrop called the meeting to order at 8:19 hrs. Roll was called, 37 members were present; a quorum. 6 members were excused and 3 members were absent and an appropiate sponsorship was present - Lieutenant Evans.

Members were asked to remove their hats for a moment of silence for the American Prisoners of War, those Missing in Action, those Killed in Action, and for our troops deployed around the world.

Members were asked to indicate if they received their minutes of the last months meeting. A motion was made and seconded to accept the minutes from the October meeting. A vote was taken and passed to accept the minutes.

TREASURER'S REPORT: (R. Portune): We have a balance of $331.00. From this money $165.00 is reserved for the Hat Fund, which leaves $166.00 for useable funds. BR>

OUTSIDE COORDINATOR: (F. Lemus): A letter from Operation:Mom was read thanking the group for a great packing day.

COMMITTEE REPORTS:


BY-LAWS: Mr. Hagan: there is nothing to report.

FOOD SALE: Mr. Portune: the food sale narrative for our next food sale is in awaiting approval. We will deliver on March 1, 2009.

SOCIAL: There is nothing to report.

COLOR GUARD: Mr. Baer: there is nothing to report.

STAMPS FOR SOLDIERS: Mr. Schuhmacher: We are going to be sending approximately 25000 stamps out this week. We would like to clarify that the stamps for soldiers program is used stamps still on envelopes. These stamps are peeled off envelopes and are used as therapy for wounded soldiers.

REAL CHOICES: Mr. Renteria: nothing to report.

GRANTS: Mr. Singler: there is nothing to report.

TAB'S FOR TOT'S: Mr. Sanders: we are collecting quite a few tabs and every thing is moving along fine.

TOY PROGAM: Mr. Renteria: this program is moving along fine. Lt. Evans explained about the posters being posted. All money made from our last fundraiser (Food Sale) will be used for this year's Toy Program, except for expenditures for the truck rental and what we needed to bring the Scholarship fund up to the appropriate amount for the next award. The group will donate $1,818.99 to buy toys. The group talked about the logistics of how to set up the Visiting Room and discussed decorating the room and Christmas Tree.

PRESENTATION BOXES: Mr. Roberts: several boxes are being made to be donated early next year.

SCHOLARSHIP PROGRAM: Mr. Leavitt: Discussed the stamp issue, how many are needed. We are asking for group members to donate some stamps for this purpose. If each member donated four stamps each, we would have enough for the scholarship mailing.

CAMARADERIE NIGHT: We are sorry that Camaraderie Night was cancelled, our Chief Sponsor was redirected. Our next Camaraderie Night will take place on December the 27th 2008; Ms. Debra Sheldon will sponsor this event. We will show the same movie that was scheduled for the last Camaraderie Night, (Hamburger Hill). Please bring snacks.



OLD BUSINESS:
Chairman Northrop: thanked the group for Run for the Pen. This was a total success.



NEW BUSINESS

Chairman Northrop: addressed having pins sent in for wearing on our hats. The pins should be sent to our Chief Sponsor or by UPS to R&R.

Ms. Debra Sheldon asked to have some spooky stamps made at her expense. These stamps will be for the groups use.

Ms. Debra Sheldon has made a proposal for the group to purchase a camera and color printer for use at fundraisers to sell photos to mail line inmates. Profits from the sale of these photos will be used to maintain the Kiddy Coral in the Visitin Room. This motion was tabled until next year.

A motion was made to adjourn the meeting and seconded. The motion passed. Meeting adjourned at 8:54 AM.
